Many care disputes begin at intake: the original condition was not photographed clearly, the customer's main concern was not established, earlier treatments were not recorded, or the two sides had different ideas of a successful result. Professional intake keeps the customer informed and gives the technician information they can act on.

Turn a vague request into a specific objective

“Make it look newer” is not a sufficiently clear treatment objective. Ask whether the main concern is staining, dryness, edge paint, colour loss, construction, hardware or the overall appearance. Establish whether the customer wants to preserve a naturally used appearance or is open to repair and restoration. These choices affect scope, risk, timing and the way the result will be assessed.

What to record

  • Brand, model, colour, material and main construction features.
  • The original condition of the body, corners, handles, shoulder strap, edge paint, hardware and lining.
  • The exact locations of stains, wear, colour loss, damage, odours and distortion.
  • Any cleaning, conditioning, recolouring, gluing or repair already carried out.
  • The customer's main concern and the range of results they would accept.
  • Areas requiring further testing, issues that cannot yet be assessed and work that is not recommended.

A sequence the team can follow

Inspect the item together and photograph it from consistent angles. The intake team records the customer's priorities, and a technician makes an initial assessment. Describe the intended improvement in terms that can be observed and checked. Arrange testing or a second assessment for uncertain issues. Begin treatment after the scope, timescale and risks are agreed.

Make risk explanations specific

A general statement that the customer accepts all consequences is not a useful substitute for explaining risk. Relate each concern to a particular area and cause, such as ageing, an earlier repair or a sensitive material. Explain the possible changes, how the shop will test and when it will stop. This gives both sides a clearer understanding at handover.
